NOTE:  Registrations will not be processed or confirmed until payment in full is received.

Payment may be made by cheque or credit card. MasterCard, Visa, and American Express are the credit cards accepted at the Meeting. Please note all transactions by credit card will appear on your statement as ‘‘Conference by arinex Pty Limited’’.

Cheques should be made payable to arinex on behalf of LGKS 2012, your reference and invoice number should be typed or printed clearly on the back of the cheque. Cheque payments from overseas must be a bank cheque in Australian Dollars drawn on an Australian Bank. No other currency will be accepted. Cheques will be accepted until 18 March 2012. After this date, all payments must be made via Credit Card.

You may not pay your fees by direct electronic transfer.

Cancellation and Refund Policy

Cancellations must be notified in writing to the Meeting Managers.

Registration Fees:

  • Before 25 November 2011 will incur a $100.00 cancellation fee.

  • Before 14 February 2012 will receive a 50% refund of fees paid.

  • After 14 February 2012 there will be no refund.

Accommodation:

  • A minimum one night’s deposit must be paid or credit card details given at time of booking to guarantee reservation.

  • Deposit is non-refundable at 20 February 2012

Social:

  • Payments are non-refundable after 14 February 2012

Acknowledgements

Your registration and payment will be acknowledged via email or post with confirmation of your requirements according to your registration form.  Your registration will not be processed or confirmed if payment does not accompany your form. You will not receive any further publications before the Meeting. Your letter of acknowledgment will include any further advice necessary prior to your arrival at the Meeting. 

Entry to Meeting

Each member of the Meeting will receive a name badge on registration.  The badge will be your official pass and must be clearly visible at all times to obtain entry to all sessions and to social functions. The Meeting Managers expect appropriate behaviour from attendees and reserves the right to revoke the badge and privileges of anyone behaving in an inappropriate manner.

Registration Desk

The Registration Desk will be located in the Level 3 Foyer, Hilton Hotel Sydney.

Insurance

Registration fees do not include insurance of any kind. It is strongly recommended that at the time you register for the Meeting and book your travel you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the Meeting, or through cancellation of the Meeting, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Australia, failure to utilise tours or pre booked arrangements due to airline delay, Force Majeure or any other reason, medical expenses (including sickness and accident cover), loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The Meeting Managers cannot take any responsibility for any participant failing to arrange their own insurance. This insurance is to be purchased in your country of origin.

Private Touring/Hospitality Arrangements

Should you have any specialised group requirements for private touring, transportation or hospitality services other than those organised for the official program, please contact the Meeting Managers who would be pleased to assist with arrangements.

Private Functions

It is requested that you advise the Meeting Managers of any private /corporate functions that might be planned outside of the official program. The Meeting Managers would be pleased to assist with arrangements for any of these events.

HOW TO BOOK ACCOMMODATION

To book accommodation, please complete the online registration. The Meeting Managers will forward your contact details, reservation and credit card details to the hotel of your choice.

ROOM BOOKINGS

Rooms are being held by the Meeting Managers on behalf of the attendees until 20 February 2012. All hotel accommodation bookings must be guaranteed with credit card details at time of booking in order to secure a reservation. The full amount of your hotel account for all nights booked/stayed will be payable directly to the hotel.

Late bookings can be made through the Meeting Managers after 20 February 2012 but are subject to hotel availability and credit card details are required to secure the reservation.

CHANGE OF BOOKING AND EARLY CHECK OUT FEES

Any change to a reservation must be notified to the Meeting Managers and not directly to the hotel.  Please note that any changes should be made to the Meeting Managers by 01 March 2012.

Please note: Hilton Sydney, Early Check Out Fees: As at 20 February 2012 the Hilton Sydney will apply an early check out fee from time of booking for any delegates who reduce their accommodation with the Hilton Sydney. This fee will be equal to 1 night’s full accommodation rate for each night that has been reduced. All applicable early check out fees will be retained by Hilton Sydney.

LATE ARRIVALS

Please indicate when you register, or notify the Meeting Managers in writing if you will arrive at your hotel after 6.00pm. Failure to do so may mean that your room will be released.

CHECK-IN AND CHECK-OUT TIMES

For many hotels, check-in time is 3.00pm and check-out time is 10.00am.  Should you wish to guarantee check-in before 3.00pm you will need to pre-book, and pay for the previous night.  If you wish to guarantee a late checkout you will need to book for the next night.  These additional nights can be booked at the time of making your reservation. If required please indicate on your registration form

HOTEL CHECK IN PROCEDURES

As per standard hotel policies and procedures attendees will be required to provide a credit card or full cash payment upon check in. This is to cover any incidental charges incurred during your stay and all remaining unpaid room nights.

The hotel will hold on your credit card, until point of check out, all unpaid accommodation nights reserved plus a daily amount for incidental charges. If you will be settling your accommodation account by cash you will be asked to pre pay for your accommodation in full plus a cash deposit for incidentals. Should you not utilize any incidentals during your stay the cash deposit, for incidentals only, will be refunded to you by the hotel upon check out.

Please note the daily incidental charge may vary across the listed hotels.  Should you wish to confirm the amount that will be held against your card prior to check in, please contact the hotel directly.

GROUP BOOKINGS 

If your organisation would like to make a Group Booking or place group accommodation at hotels not listed above, the Meeting Managers can secure rooms and negotiate group rates on your behalf with the hotel of your choice.  With a large network of hotel contacts our experienced staff are able to ensure all your needs are met and your booking is managed efficiently.

  • Reservations cancelled on or after 20 February 2012 or that do not arrive for the reserved date will be subject to a 100% cancellation fee, equal to all room night’s reserved.
  • All applicable cancellation fee monies and early check out fees will be charged and retained by Hilton Sydney.
  • Cancellations must be made in writing to the Meeting Managers.

 

Metro Hotel on Pitt

  • Reservations cancelled on or after 20 February 2012 or that do not arrive for the reserved date will be subject to a cancellation fee, equal to 1 nights accommodation rate.
  • Cancellations must be made in writing to the Accommodation Managers.

  • Reservations cancelled on or after 20 February 2012 or that do not arrive for the reserved date will be subject to a cancellation fee, equal to 1 nights accommodation rate.
  • Cancellations must be made in writing to the Accommodation Managers
